How to Setup Conferencing in Avaya IP Office?

There are 3 ways to set up a conference which can have between 3 and 64 users

  • Using the Conference Button on your phone.
  • Using Conference Add (*47)
  • This will mean that the conference chairperson will have to add everyone to the conference. The person adding the extensions can act as the controller and can mute and drop other users on the call.

  • Using Conference Meet Me
  • This sets up a short code and users have to dial into the conference from their phone

    Using the Conference Button

    1. Make your first call and when connected press the 2nd intercom key and dial the next person.

    2. Once connected, add all your callers to the new conference by pressing the conference button. Everyone will now be added to the conference. The person adding the other extensions acts as the controller and can mute and drop the extensions.

    3. To add more people, select the 2nd intercom key and press the conference button once connected.

    Using Conference Add (*47)

    Note: You'll need at least 3 intercom keys on your phone to use this function.

    1. Make your first call on intercom key 1 and when connected select intercom key 2 and dial the next person.

    2. Once connected, press intercom key 3 and dial *47. This will add everyone to the conference and free up intercom keys 2 and 3.

    3. To add another person press intercom key 2 and dial the number, when connected press intercom key 3 and dial *47.

    4. Repeat this until everyone is in the conference.

    Using Conference Meet Me

    You'll have to create a short code for this feature.

    1. Log in to IP Office Manager.

    2. Right click Shortcode at the left hand side and select New.

    3. Enter the details below:

    Code = *55 (This can be any unique code)

    Feature = Conference Meet Me

    Telephone Number = 100 (You can enter any number in here but make sure you don't repeat them for the Conference Meet Me feature)

    Line Group = 0

    4. Press Ok and save the configuration file.

    To use the feature, Conference Meet Me

    1. Ask everyone who wants to join the conference to dial *55 from their phone, this will join them to the conference.

    2. Once the call has ended everyone should disconnect by hanging up.

    External customers using Conference Meet Me

    You'll need to set up a specific DDI (Direct Dial In Number)

    1. Log in to IP Office Manager.

    2. Right click on Incoming Call Route at the left hand side and select New.

    3. Enter the DDI number in the Incoming Number field.

    4. On the Destination tab, double click in the field and enter the *55 short code.

    5. Your customers must dial the DDI number entered in the Incoming Number field. They will automatically be entered into the conference.
